iSchool Recruiting Policy for Employers
Purpose & Scope
All employment professionals recruiting Information School (iSchool) students through the iSchool and other on-campus recruiting channels, such as the UW Career Center and other established college or university programs, are requested to work within a framework of professionally accepted recruiting, interviewing, and selection practices as stipulated in the NACE Principles for Professional Conduct.
Governing Standards
Employers recruiting iSchool students are required to comply with:
Eligibility to Recruit iSchool Students
Legal and Ethical Restrictions
Employers and roles are not eligible for iSchool Career Services if they involve:
- Illegal activity or organizational misrepresentation
- Hiring for positions within active labor disputes
- Requesting sensitive personal information during application (e.g., SSN, bank data)
- On-campus sales, promotion, or commercial solicitation
- Adult-entertainment-related positions
- Candidate fees (e.g., franchise, supplies, training, or "start-up" costs)
These expectations apply to all recruiting, selection, and internship supervision activities.
Non-Discrimination, Accessibility & Safe Environments
Employers must:
- Follow equal employment opportunity and non-discrimination laws
- Provide reasonable accommodations upon request
- Ensure harassment-free interviewing and workplace environments
These expectations apply to all recruiting, selection, and internship supervision activites.
Third-Party Recruiters
NACE defines Third Party Employers as “Agencies, organizations, or individuals recruiting candidates for temporary, part-time, or full-time employment opportunities other than their own needs.” Third Party Employers are eligible to utilize iSchool Career Services but must abide by guidelines outlined below:
- Charge no fees to candidates
- Obtain written student consent before sharing application materials
- Disclose client names to UW/iSchool upon request
Use of Student Information
Student data obtained through iSchool events or platforms may be used only for recruiting for the specific posted role. Data may not be reused, shared, or retained without the student’s written consent.
Job Offers and Policies
We ask employers to abide by the timelines outlined below, and failure to follow these policies may be detrimental to our students and may result in limiting employer access to departmental recruiting activities. Please note, these policies apply to employers that have used iSchool resources such as Handshake, the iSchool Career Fair, Information Sessions, and other related iSchool forums to find and source candidates.
- Commission roles: Full‑time commission‑based roles may be posted; part‑time or internship commission roles require approval.
- Pay transparency: Compensation must be included in postings per Washington State law.
Interviewing & Communication
Employers should be prepared to respond to status inquiries from students within one week of each interview, whether conducted on campus, off campus, or over the phone, for both full-time and internship positions.
Offers & Decision Timelines
- Minimum Decision Window: All full-time and internship offers must include at least a three-week decision window.
- Written Offers: Offers must be provided in writing and include role details, compensation, contingencies, start date, and expiration date. Verbal acceptances may not be required before issuing a written offer.
iSchool Standard Deadlines
If these dates provide more time than the three‑week minimum, the later date applies:
- Offers to previous summer/spring interns:
Decision deadline: November 30 - Offers made in summer or autumn:
Decision deadline: November 30 - Offers made in December or winter quarter:
Decision deadline: February 15 - Offers made in spring quarter:
Decision deadline: April 15
*Please note that the time periods above start at the receipt of a written offer for employment to the student.
Offer Conduct Expectations
Employers must avoid undue pressure, short‑fuse deadlines, or diminishing incentives. Reasonable extension requests are encouraged to support informed decisions. Students are expected to withdraw from their job search upon accepting an offer.
Consequences for Non-Compliance
Failure to follow this policy may be detrimental to students and may result in limitations on employer access to iSchool recruiting activities (e.g., Handshake postings targeted to iSchool students, participation in the iSchool Career Fair, or event hosting).
