MSIM Program Coordinator
The University of Washington’s Information School is seeking an MSIM Program Coordinator to provide support for all academic and operational aspects for the Master of Science in Information Management (MSIM) program. This position assists in building community to ensure MSIM student success through student services, event-planning, records management, and academic advising. The MSIM program has robust on-campus and online program options; this position will support students across all options in collaboration with the MSIM Program Team composed of the Program Chair, Program Manager, and Program Advisor(s).
Additionally, this position works closely with the Student Services staff to provide support for the Information School's other degree programs, i.e., PhD in Information Science, Master of Science in Library and Information Science (MLIS) and the BS in Informatics (INFO). The Program Coordinator will work closely with faculty, staff, students, as well as prospective students, and alumni. Additionally, the Program Coordinator provides direct support to broadly focused projects that Student Services leads for the School, including but not limited to career fairs, orientations, and convocation ceremonies. The Program Coordinator supporting our MSIM program is regularly called upon to meet with executive level individuals both internally and externally.
What you’ll be doing:
Administrative Support and Records Management
Provide administrative support for the Masters of Science in Information Management (MSIM) program and general administrative support for programs and activities in the Office of Student Services.
- Support quarterly course registration processes including providing entry codes, problem solving, and assisting students with appropriate paperwork. Coordinate with iSchool Academics & UW Continuum College as necessary.
- Maintain MSIM program information and records and student files, in both electronic and print form.
- Track work flow associated with quarterly tasks, yearly events, and special projects.
- Document MSIM students’ academic progress using UW Student Database, Noodle portals, iSchool program databases, and the UW Graduate School’s MyGrad program; provide information for review by academic advisers or program chair.
- Track internships (IMT 590) and independent study (IMT 600) of MSIM students including necessary documentation for international students.
- Track quarterly graduation requests and required paperwork for MSIM students.
- Perform degree audits of MSIM students during their program and at the time of graduation to verify completion of all degree requirements. Enter in petitions and exceptions via MyGrad. Coordinate graduation decisions with the MSIM Academic Advisor(s) and Program Manager.
- Coordinate UW Graduate School, University of Washington, and departmental paperwork, e.g., graduation applications, student petitions, independent study requests, funding requests, etc., for MSIM students.
- Use UW Graduate School’s MyGrad platform, UW IT’s BI Portal, and UW SDB system on a routine basis to collect and prepare data for institutional reporting purposes such as 10-year reviews, accreditation, and accountability reports as requested.
- Assist in processing and record keeping for Curricular Practical Training applications for international MSIM students.
- Assist in admissions processes and application review.
Student Communication Support
Provide communication support of the various aspects of the MSIM program, including outreach to students and internal data storage.
- Respond to email messages from current and prospective MSIM students via the RT system.
- Administer and moderate listservs for continuing students in the MSIM program.
- Manage and keep updated the MSIM program databases and the MSIM Student Resource Sites on Canvas.
- Provide administrative support in the iCareers content management system (Symplicity) for the management of MSIM Internship and Practicum paperwork.
- Maintain content of iSchool websites and blogs as related to the MSIM program content and events.
- Coordinate and oversee MSIM student graduation invitation requests for family requiring visa travel.
- Maintain MSIM program’s internal website (SharePoint) site adhering to iSchool standards.
Event Planning and Support
Provide operational support and event planning for the MSIM and general Student Services events and programs.
- Facilitate catering, venue support, publications, and other needs for MSIM events and programs including orientation, Student Town Halls, and recruiting.
- Managing purchasing for events and other MSIM program needs.
- Work as a team member with Student Services staff in planning and supporting events serving all iSchool students such as the iSchool Career Fair, iSchool Welcome Week, and Convocation.
- Create and distribute internal materials related to MSIM program events.
- Prepare and distribute invitations to events, as needed.
- Represent the Information School degree programs to students and the public at special events as required.
- Coordinate broadcasting of events using Zoom or other appropriate technology.
Student Services Support
- Provide reception support, as needed, for the Student Services office.
- Perform related duties as required, approved by MSIM Program Manager.
Minimum Qualifications
- High school graduation or equivalent and two years of experience in higher education student services OR equivalent education/experience.
- Fluency in Microsoft Office Applications (Outlook, Word, and Excel).
- Work experience using databases such as Access, SQL or equivalent.
- Experience with event planning.
- Demonstrated communication skills; both written and oral.
- Demonstrated success in working with diverse populations.
- Demonstrated ability to organize and prioritize multiple tasks and work effectively under the pressure of deadlines.
- Ability to work both independently and as part of a team.
- Demonstrated ability to effectively use electronic scheduling tools in a business environment.
- Demonstrated professionalism.
Desired Qualifications
- Bachelor’s degree in Business, Communications, Education, Social Science, Information Science or equivalent.
- Experience modifying and building databases.
- Experience in using CRMs such as Symplicity or Salesforce.
- Experience with UW systems MyGrad, SDB, and Catalyst.
- Experience using InDesign, and/or other design program.
- Prior experience using SharePoint.
- Experience using a learning management system, especially Canvas.
- Prior experience in web-broadcasting platforms such as Adobe Connect or Zoom.
- Experience with event planning.
