Quick Start Info for New Employees

What: This is an IT Quick Start Guide for incoming iSchool staff, faculty and Ph.D. students. Ideally, these tasks will be completed before the first official day of employment.

Why: Implementing these changes will ensure that you can be found in the UW Directory and the Outlook Address Book, that your name is displayed in a manner that makes it easy to find, and that we are all using the same calendaring platform to facilitate the scheduling of meetings.

Please perform all of these steps even if it appears that some are already completed.

If you need any assistance, please do not hesitate to contact the iSchool IT Help Desk.

UW Directory Information

  • Log in to Identity.UW: https://identity.uw.edu/
    • Preferred Name - edit this to match your preferred first name and last name, and remove any middle name or initial.*
      • If your first or last name is hyphenated or a two-part name, please enter both parts in the First Name or Last Name field.
      • Even if everything looks fine, please click Edit, confirm both names, and click Agree & Save Name.
    • Pronouns - specify your preferred pronouns.

Email

  • Change UW Email Forwarding: https://uwnetid.washington.edu/manage/?forward
    • Forward your UW email to UW Office 365.
      • You can access your email using Outlook on the web https://outlook.office.com/mail/inbox.
      • Or using Microsoft Outlook on your iSchool computer.
      • Or on any mobile device using the Outlook app.

Microsoft Office 365 Profile

Your Office 365 Profile picture and information are seen throughout Office 365 and our Intranet (our Intranet is hosted on SharePoint Online, which is part of Office 365). For this reason we ask everyone to upload a picture (consider using your iSchool directory picture) to your Office 365 Profile to help our community put a face to your name. Any other information you want to provide is optional.

  • Log in to Office 365 using your UW email address: https://www.office.com/
    • Select Work or school account
  • In the top, right corner of your browser, click on your initials.
  • Hover over your initials, and click the camera icon to change your profile picture.
  • If you like, you can also click the My Office profile button and add some text to the About me field.

Google Workspace (G Suite)

Everyone at the UW has both a UW Microsoft Office 365 and a UW Google Workspace license. The Microsoft license is automatically activated but you need to manually activate the Google license. We recommend that everyone do this to ensure you have access to all the Google services.

  • Log in to Manage UW G Suite here: https://uwnetid.washington.edu/manage/?google
  • Turn the service on.
    • Be sure your Name matches your Preferred Name above.
    • Do NOT change your email forwarding, keep it set to UW Office 365.
    • You do not need to set a separate password.
  • Log in to your Google Account Personal info: https://myaccount.google.com/personal-info
  • Update your profile picture so it matches your iSchool Directory/Microsoft Office 365 profile picture.

Appropriate Use

* The GAL (Global Address List) and the Outlook Address Book sort names by first name. To make it easier to find colleagues, we ask that everyone not include their middle name or middle initial. This is just a display name for the sake of the UW Directory; it in no way affects any other record or directory or legal document.
